Managed Lead Reactivation Agent

A managed agent that works through an approved existing lead list, checks present interest, answers bounded questions, books qualified conversations, records objections, and stops on opt-out.

Discuss this agent No credentials or payment before authorization review

The operating problem

Repetitive handling takes people away from the work only they can do.

CRMs accumulate enquiries, quotations, trials, no-decisions, and previous customers that staff do not consistently revisit. Manual follow-up is repetitive, context is scattered, and teams can waste time on stale or ineligible records. Poorly controlled automation creates spam, consent, sender-reputation, and brand risk.

Best fit

  • Businesses with customer-owned, lawfully collected leads from enquiries, quotations, trials, events, downloads, waitlists, previous appointments, or lapsed customer relationships and a documented basis for follow-up.

Intended outcomes

  • Approved dormant leads receive a purpose-limited follow-up journey; the customer receives updated interest, qualification, objection, suppression, and appointment states. StructuredLayer operates the rules, quality checks, and exceptions without claiming that every record is contactable or sales-ready.

Where it works

Configured around the customer journey, not a generic chatbot.

Select the industries, channels, agent roles, systems, and actions that belong inside the approved operating loop.

Agent roles

  • List eligibility agent
  • Reactivation conversation agent
  • Qualification agent
  • Objection classification agent
  • Scheduling agent
  • Suppression and opt-out agent
  • CRM and quality agent

Tasks handled

  • Check approved eligibility, source, prior relationship, consent, suppression, recency, and ownership fields
  • Send only approved messages through eligible channels
  • Classify interested, later, not interested, wrong contact, invalid, opted out, complaint, and review-required states
  • Answer approved factual questions and retain the original campaign context
  • Collect agreed qualification updates
  • Book qualified conversations or create a human call task
  • Record objections, outcomes, evidence, and next-action dates
  • Stop future sends on opt-out or policy exception

Time returned

A transparent capacity model, not a headcount promise.

The customer supplies task volumes and handling times. Gross agent-handled task hours are reduced by retained human review, exceptions, calls, and consequential work. The model does not claim employee replacement, payroll reduction, or a guaranteed saving.

Capacity calculation

01

Illustrative capacity model: eligible contacts × average manual preparation and follow-up minutes ÷ 60

02

Add responding contacts × average reply triage and CRM update minutes ÷ 60

03

Subtract human calls, complex replies, complaints, and review-required cases

04

Example only: 600 eligible contacts × 3 minutes plus 90 replies × 6 minutes = 39 gross task hours before human review

05

This is not a promise of payroll reduction, contactability, replies, meetings, or revenue

06

Observed eligibility, sends, replies, handoffs, and retained human work replace assumptions after launch

Cost interpretation

01

Illustrative wage-value reference: gross task hours × customer-approved fully loaded hourly cost

02

May 2025 U.S. BLS median service-sales wage of $32.78/hour may be shown only as a neutral national reference

03

Example: 39 gross task hours × $32.78 = $1,278.42 before benefits, commissions, management, software, data, retained calls, quality differences, and local conditions

04

The customer should compare the retainer with recovered capacity and opportunity quality, not assume employee replacement

05

Messaging, data, provider, email infrastructure, AI, and usage costs are included only where the proposal says so

Customer-controlled setup

You approve the knowledge, systems, permissions, and decisions.

StructuredLayer accepts lead data only through an approved secure transfer or customer-controlled system. It does not request personal social-account passwords, cookies, or sessions and does not use unauthorized LinkedIn automation. Channel authorization, consent evidence, suppression, and purpose are reviewed before activation.

What you provide

  • Customer-owned lead list with source, timestamps, relationship, and contact permissions
  • Documented legal and platform basis for each campaign and geography
  • Offer, audience, exclusion, recency, frequency, and suppression rules
  • Approved messages, factual knowledge, qualification, and objection guidance
  • Calendar, CRM, ownership, and human follow-up rules
  • Named campaign, privacy, sales, and escalation owners

Connected systems

  • CRM or customer-controlled lead table
  • Permission and suppression store
  • Approved email sending environment
  • WhatsApp Business Platform
  • Approved SMS provider and sender registration
  • Calendar and assignment rules
  • Reporting destination and webhooks

Included operation

The retainer has a defined boundary.

This service is not list purchasing, identity enrichment, social-account discovery, or indiscriminate cold outreach. Every record must have an approved source, purpose, contact basis, suppression state, and eligible channel. A provider accepting a message does not by itself make the message lawful or appropriate.

Included scope

  • One approved lead source and one reactivation offer
  • One primary audience and up to two approved channels
  • Up to 1,000 eligible contact journeys per month
  • One calendar and CRM destination
  • Eligibility, suppression, reply, objection, and handoff states
  • Two campaign or message experiments per month after approval
  • Weekly quality review and monthly operating report
  • Data remediation, additional audiences, volume, languages, channels, and custom integrations are quoted

What we measure

  • Records received, eligible, excluded, suppressed, invalid, duplicated, and review-required
  • Messages attempted, accepted by provider, failed, replied, opted out, complained, and handed off
  • Interested, later, not interested, wrong person, and unresolved states
  • Qualified appointments booked and attended
  • Gross agent-handled task minutes and retained human minutes
  • No employee, pipeline, or revenue saving is asserted without customer-approved source data and definitions

Operating path

Configured, tested, approved, then operated.

Production access follows process, policy, tool, failure-path, and human-handoff review.

01

Audit lead provenance, relationship, permissions, suppression, age, geography, and channel eligibility

02

Define offer, audience, exclusions, qualification, message sequence, limits, stop rules, and human owners

03

Connect approved CRM, permission store, sending channel, calendar, and reporting destination

04

Test normal, opt-out, wrong-person, complaint, sensitive, stale, and ambiguous cases

05

Customer approves the eligible population and every production message path

06

Launch in a constrained batch and review replies before scaling

07

Monitor sender health, eligibility, opt-outs, complaints, response states, appointments, and human handoffs

Human authority

The agent stops where judgment and accountability begin.

A handoff carries the conversation, retrieved context, actions already attempted, and reason for review. The person should not have to reconstruct the case.

Mandatory handoffs

  • A person asks for a human, calls, or requests a channel change
  • A reply contains a complaint, threat, legal request, vulnerability, or sensitive situation
  • Consent, identity, previous relationship, offer eligibility, or account ownership is disputed
  • A custom price, contract, refund, guarantee, or consequential commitment is requested
  • The record conflicts with the CRM, suppression store, or customer instructions
  • The agent lacks approved knowledge or cannot interpret the response confidently

Operating safeguards

  • No purchased personal lists or inferred social presence
  • Eligibility and suppression checks happen immediately before proactive sends
  • Natural-language opt-outs stop future messages and update the suppression state
  • Frequency, time-of-day, geography, template, and channel limits are enforced
  • No false identity, human impersonation, fabricated context, or deceptive urgency
  • No autonomous commercial commitment or consequential decision
  • Sender and provider health can pause the campaign automatically
  • Customer can suspend, export, revoke, or delete the operation

Limits and ownership

Managed automation does not remove uncertainty or customer responsibility.

The customer owns the lead list, permission evidence, messages, conversation outcomes, appointments, and resulting dataset. StructuredLayer retains only the managed copy and history agreed for operation. Exit includes suppression preservation, approved exports, access revocation, and deletion according to the engagement.

Known limitations

  • An old lead may be unreachable, uninterested, ineligible, duplicated, reassigned, or no longer the right person
  • Consent and legitimate purpose depend on source, message, geography, relationship, and current law
  • Provider delivery does not prove inbox placement, reading, interest, qualification, or compliance
  • Automated messages can harm trust if the audience, frequency, wording, or context is poor
  • Appointments and replies do not guarantee attendance, opportunity, pipeline, revenue, or a sale
  • Human sales staff remain responsible for complex qualification, calls, proposals, negotiation, and closing
