Managed WhatsApp Qualification & Follow-Up

Aineed Data operates approved inbound WhatsApp qualification and permissioned follow-up, answers bounded questions, books eligible appointments, updates CRM records, and routes valuable or uncertain cases to people.

The operating problem

Repetitive handling takes people away from the work only they can do.

WhatsApp enquiries and approved follow-up conversations often arrive without consistent qualification, ownership, suppression checks, or CRM context. Slow replies and fragmented records create avoidable sales and service work.

Best fit

  • Property, education, home services, automotive, hospitality, events, B2B sales, training, wellness, and other businesses with approved inbound or permissioned WhatsApp conversations.

Intended outcomes

  • More consistent WhatsApp coverage, structured qualification records, approved follow-up, clearer opt-out handling, appointment routing, and a human queue for exceptions.

Where it works

Configured around the customer journey, not a generic chatbot.

Select the industries, channels, agent roles, systems, and actions that belong inside the approved operating loop.

Industries

  • Property, education, training, home services, automotive, hospitality, events, B2B services, software, wellness, travel, and high-consideration commerce.

Supported channels

  • WhatsApp Business through official access
  • Website click-to-WhatsApp or approved chat entry
  • Meta lead ads where applicable
  • CRM and sales workspace
  • Calendar and booking system
  • Approved email or SMS for separately scoped journeys

Agent roles

  • Implementation details are managed by Aineed Data and are not a buyer-facing deliverable.

Tasks handled

  • Responds to eligible inbound WhatsApp enquiries
  • Identifies service, need, location, timing, and other approved qualification fields
  • Answers bounded questions from approved knowledge
  • Checks consent, purpose, suppression, and eligibility before proactive follow-up
  • Sends approved templates or messages where the channel requires them
  • Offers supported appointment times
  • Updates CRM fields, tags, tasks, and pipeline states
  • Classifies interested, later, not interested, opt-out, complaint, unclear, and human-request replies
  • Routes qualified, sensitive, disputed, or uncertain conversations to a human
  • Reports conversation, suppression, handoff, and provider states

Time returned

A transparent capacity model, not a headcount promise.

The customer supplies task volumes and handling times. Gross agent-handled task hours are reduced by retained human review, exceptions, calls, and consequential work. The model does not claim employee replacement, payroll reduction, or a guaranteed saving.

Capacity calculation

01

Performance is measured against the customer’s approved baseline. We report eligible conversations, response coverage, qualification states, bookings, CRM records, follow-up, suppression, handoffs, failures, and provider events.

02

No employee replacement, payroll reduction, appointment, conversion, revenue, or ROI guarantee applies.

Cost interpretation

01

The service is evaluated against response coverage, structured qualification, reduced manual follow-up, cleaner CRM records, appointment routing, and human decision support.

02

Any capacity comparison uses customer-approved volumes and assumptions rather than a universal saving claim.

Evidence and assumptions

Research informs the baseline. Your operation determines the result.

Published evidence gives context for repetitive work, scheduling, wages, messaging, and human oversight. It does not establish your savings, conversion, staffing, or ROI.

Customer-controlled setup

You approve the knowledge, systems, permissions, and decisions.

Aineed Data uses official WhatsApp Business authorization, OAuth, business roles, named accounts, or scoped service accounts where supported. Passwords, cookies, MFA codes, tokens, private keys, scraped phone lists, or customer lists are not requested through public forms or ordinary email.

What you provide

  • Official WhatsApp Business account and authorization
  • Inbound sources, audience, purpose, and permission evidence
  • Qualification questions, approved answers, offers, and exclusions
  • Templates, frequency limits, quiet hours, suppression, and opt-out rules
  • CRM, calendar, booking, and human owner
  • Complaint, sensitive-case, and escalation policy

Connected systems

  • Official WhatsApp Business access
  • Website or click-to-WhatsApp entry
  • Meta lead ads where separately approved
  • CRM or sales workspace
  • Calendar and booking system
  • Webhook or structured reporting destination

Included operation

The retainer has a defined boundary.

Inbound handling is limited to eligible conversations and approved knowledge. Proactive follow-up requires the applicable permission, approved purpose, template where required, suppression check, frequency limit, and opt-out handling. This service does not provide cold bulk WhatsApp outreach, scraped-list messaging, unrestricted broadcasts, or a guarantee of replies, appointments, conversion, revenue, or ROI.

Included scope

  • One business unit and one WhatsApp Business number
  • One inbound qualification journey and one permissioned follow-up journey
  • Up to three approved WhatsApp entry sources
  • One CRM or sales workspace and one calendar
  • Up to 1,500 defined conversation, qualification, follow-up, booking, or CRM actions monthly
  • Approved knowledge, templates, suppression, frequency, and escalation rules
  • Weekly sample and exception review
  • Monthly conversation and sales-operations report
  • Additional numbers, languages, markets, journeys, channels, and usage are quoted separately.

What we measure

  • Eligible inbound and permissioned follow-up conversations
  • Response, qualification, booked, CRM, suppressed, opted-out, handed-off, failed, and review-required states
  • Template and provider events
  • Human-review work and unresolved exceptions
  • Customer-approved baseline and monthly operating report

Operating path

Configured, tested, approved, then operated.

Production access follows process, policy, tool, failure-path, and human-handoff review.

01

Map WhatsApp sources, audience, purpose, consent, content, CRM, calendar, exceptions, and owners

02

Configure approved qualification fields, knowledge, templates, suppression, frequency, and handoff rules

03

Test inbound, incomplete, opt-out, complaint, unclear, provider-failure, booking, and human-handoff cases

04

Launch with controlled scope, monitor conversation states, review exceptions, and report approved metrics

Human authority

The agent stops where judgment and accountability begin.

A handoff carries the conversation, retrieved context, actions already attempted, and reason for review. The person should not have to reconstruct the case.

Mandatory handoffs

  • A person asks for a human or the reply is unclear, sensitive, disputed, or a complaint
  • A custom price, promise, refund, contract, payment, eligibility, or consequential action is requested
  • Consent, identity, account ownership, purpose, or suppression state is unclear
  • A person asks to stop, delete, or change communication preferences
  • A provider, template, calendar, or CRM returns conflicting or failed information
  • The customer requests cold bulk messaging, scraped-list messaging, unrestricted broadcast, or unsupported channel behavior

Operating safeguards

  • Official WhatsApp Business access and approved sender identity are required
  • Every proactive journey checks permission, purpose, template, suppression, frequency, and opt-out state
  • Messages use approved knowledge and claims; the service does not invent offers or prices
  • Human takeover and access revocation remain available
  • Original messages, timestamps, source, classifications, suppression, and handoffs remain distinguishable
  • No cold bulk outreach, scraped phone lists, unrestricted broadcasts, or hidden sender identity
  • Consequential decisions and commercial commitments remain human-controlled

Limits and ownership

Managed automation does not remove uncertainty or customer responsibility.

The customer owns its contacts, consent evidence, WhatsApp conversations, qualification records, bookings, CRM data, and resulting operating dataset. Aineed Data retains only the managed copy, access, logs, and history agreed for operation. Export, backup, retention, deletion, revocation, and exit handover are defined in the engagement.

Known limitations

  • WhatsApp policies, templates, permissions, quality ratings, rate limits, outages, and costs can change
  • Customer-provided consent and audience data may be incomplete or stale
  • AI can misunderstand intent, language, context, or an incomplete reply
  • External booking and CRM availability can be incomplete, delayed, or conflicting
  • Consistent handling does not guarantee engagement, attendance, conversion, revenue, or customer satisfaction
  • Human review remains necessary for exceptions and consequential decisions

Synthetic operating example

Synthetic example
A customer clicks a WhatsApp ad and asks about a service. The managed service:
1. Responds from approved knowledge
2. Collects the approved service, location, timing, and contact fields
3. Classifies the enquiry against customer-defined criteria
4. Offers an eligible appointment when permitted
5. Updates the CRM
6. Routes a pricing exception or complaint to a human
Permissioned follow-up example: An eligible existing lead receives an approved message, replies with interest, and is routed to the booking or human-sales path. Synthetic example; not a performance claim.
